Printer, Scanner, Copier – they’re all the same thing right? Wrong.

What machine do you need for your accounting office? 

 

Printers, scanners and copiers may appear to be similar machines that perform the same purpose. However, these machines have different functions and capabilities depending on the make and model. Depending on your office and business needs you probably use one of these machines or a combination of all three in the form of an (AiO) All-in-One. However, if you’re a busy accounting office none of these options may suit your needs. 

 

Printer

Printer’s are great and get the job done, however, most administration and office needs are more complex than simply printing. Having a machine that only prints can have a negative impact as you may need to scan multiple page documents digitally or copy multiple documents in print form. Scanner

Scanners can be small, hand held units or large, flat bed devices capable of scanning a large image. The point of a scanner is that the device can ‘read’ or ‘scan’ an image and convert it to a digital format, which is great if all you need are digital copies, however, if you need to print these images you’re going to need a whole different machine. 

 

Copier

The initial stages of scanning and copying are identical; both machines acquire a digital copy of an image. The big difference between these devices is that a copier will print the digital image onto paper and a scanner will store the digital image to a memory card, USB device or will transmit the image to a computer. Therefore, if you require both functions this can lead to issues and the purchase of separate machines.  

 

AiO’s All-in-Ones

The problem with an AiO is that although it has multiple functions, it cannot multi-task. Office communication and document management is a fast paced environment, you and your employees multitask on a daily basis, therefore your office equipment needs to do the same.
